Technology disconnect and reconnect with an accelerated timeline and comprehensive vendor coordination

Elastic is a search and analytics company trusted by the world’s leading companies to power innovation, including over 50% of the Fortune 500. The company provides Elasticsearch, a distributed search and analytics engine, along with Kibana and other solutions that enable organizations to search data, observe and monitor infrastructure, and investigate security threats at scale.

When Elastic’s Construction Manager, Grace Hwang, called Scott Moyers, COO at Teladata, the message was urgent: the landlord had suddenly accelerated their move-in date. What was originally planned for a couple of months away now needed to happen in just 3 days, and the company needed a technology partner capable of executing with precision while managing complexity beyond IT systems alone.

The challenge was multifaceted: disconnect and document existing technology systems, coordinate construction readiness with vendors and contractors, and reconnect everything in the new space while protecting high-value assets and minimizing downtime.

“I called Scott on a Thursday, he was there that afternoon, understood the assignment, and got it executed really quickly,” Grace recalled. That immediate availability set the tone for the entire disconnect and reconnect project.

Under the contract of Facilitate Corporation, Teladata served as Elastic’s single point-of-contact relocation partner, taking full accountability across all phases. Upon engaging with Elastic’s Construction Manager, our team immediately mobilized to assess the environment, conducting on-site documentation with photography and generating reports that informed the statement of work.

Recognizing that construction was still underway at the destination site, Teladata proactively identified and coordinated with contractors and electricians to ensure site readiness before equipment arrival. This coordination across multiple vendors proved essential.

“All the vendors pulled together and worked with each other,” Grace noted. “Teladata was proactive in reaching out to the other players involved so we weren’t going through many layers of communication. That really helped things move smoothly, especially in such a quick turnaround.”

Teladata managed scheduling and task documentation to ensure all parties had clear expectations and seamless handoffs throughout the transition. Teladata successfully condensed months of disconnect and reconnect work into just a few days through precise planning and execution.
